Donated Leave Program

Procedure Memoranda
Reference VI-13, Short Term Leave

DLP Request Form

The Donated Leave Program (DLP) was established to provide a measure of financial assistance to full-time and part-time regular employees who have exhausted all accrued leave (annual leave, sick leave, and personal leave) during the course of a serious illness or injury, or the serious illness or injury of an immediate family member requiring the employee's presence to provide care.

Key Features of the DLP include:

  1. An employee must donate at least one day of accrued annual leave or personal leave (faculty) to the DLP during the annual enrollment period (May 15 - June 15).
  2. To be eligible to receive donated leave, an employee must have made the minimum leave donation during the fiscal year in which DLP leave is requested, and the employee's (or eligible family member's) serious illness or injury must be certified as a FMLA qualifying condition. Note: Maternity leave in excess of six weeks associated with an uncomplicated pregnancy is not considered a serious medical hardship, illness or injury under the DLP.
  3. The number of DLP hours granted is dependent on the availability of hours in the DLP pool, and the employee meeting the eligibility criteria.
  4. The maximum DLP hours an employee may receive are as follows: 210 hours, faculty, counselors and academic advisors; 240 hours, full-time exempt and nonexempt employees; and 165 hours, part-time regular employees.
  5. DLP hours are paid at the recipient's current hourly rate (non-exempt employees) or daily rate (exempt employees.)
  6. Participation in the DLP ceases upon the termination of employment, death of the employee or eligible family member, failure to donate the annual required minimum hours during the applicable fiscal year required for eligibility, or exhaustion of the available hours in the donated leave bank.
